Privacy policy

Kleinkode is an IT consultancy based in Belgium, working on system integration and Peppol e-invoicing. This policy explains what personal data we collect through this website, why we collect it and what rights you have.

• Details you enter in the enquiry form: name, email address, company, service of interest and your message.
• The content of emails and calls that follow from an enquiry.
• Booking details you enter in the scheduling widget, which is operated by Calendly.
• Basic technical data needed to serve and secure the site, such as your IP address in server logs.

We do not sell your data, and we do not use it for advertising or profiling.

• To answer your enquiry and prepare a proposal — necessary to take steps at your request before entering a contract.
• To deliver and administer work once an agreement is in place — necessary for the performance of that contract.
• To keep the website secure and prevent abuse — our legitimate interest in protecting our systems.

Only with service providers that are needed to run this website and our communication: our hosting and application platform, our email provider and the scheduling tool used to book calls. They process data on our instructions. If a project requires a data processing agreement with your organisation, we sign one before work starts.

Enquiries that do not lead to an engagement are kept for up to 24 months and then deleted. Data relating to a client engagement is kept for the period required by Belgian accounting and contractual rules, usually seven years.

To exercise any of these, write to info@kleinkode.be. You also have the right to lodge a complaint with the Belgian Data Protection Authority.
